LearnUpon continues to develop and refine Live Learning, so you can offer live instruction to groups in person or online, on the schedule you set for your organization.
This article lists some frequent questions, with answers provided in the Knowledge Base.
Enrolling learners on courses, and registering them for sessions
Can you enroll learners on a course with a Live Learning event, when no sessions exist yet?
No. By default, you need at least 1 session in the event to start enrolling learners.

If you need to enroll learners and don’t have sessions ready, set Event overbook at the module level.
Event overbook lets you enroll learners to course containing Live Learning events before you add the sessions. See Live Learning: use overbook to plan future sessions.
Dealing with more than 1 session: some related questions
- Can learners self-register or be registered on more than one session in the same event?
- Can a learner be registered to future sessions in the same event when they’ve already completed one session?
- Can a learner be re-enrolled in the course where they already completed a session in an event?
Currently no, you can register learners to only 1 session per Live Learning event.
Exceptions:
- if learners complete a course but fail, you can re-enroll them to the course and re-register them
- you can manually re-enroll learners to a course, and manually re-register them for a session

Can a learner who un-enrolls themselves from a course with a Live Learning event in the past be re-enrolled to the course and the session?
Yes, you can re-enroll a learner to a course and register them to past sessions, then mark attendance for the learner.
Can learners be registered in sessions in the past and marked attended?
Yes. See Live Learning: register learners directly to sessions, and to sessions in the past.
Does recertification work on courses where there are Live Learning modules?
Yes, you can set up recertification on courses that include Live Learning events. You need to make sure that sessions are available for learners.

Can managers or instructors register learners in Live Learning?
Yes, when the managers or instructors have the required permissions. Live Learning has separate permissions from creating and editing courses. See:

Can you delete a Live Learning event?
Yes, with conditions: the event can’t be part of a published course. Published includes Under Revision and Archived statuses.
To delete an event that's part of a published course, you need to:
- start a new course version
- remove the Live Learning event completely from the course
- finish associated edits
- publish the new course version
You can delete events that are not in any course at all.

Can an instructor be changed on a session that’s in the past?
No. After the session date passes, there is no option to change the instructor.

Can the event owner be changed?
Yes. You can change the event owner to another admin or add a second owner.

What happens if the event owner is deleted?
When deleting a Live Learning event owner, you get a message that says This user is an owner on one or more events. At that point you need to select someone else to own the content, before deleting the owner’s account.

What happens if the event owner changes from an admin to a learner?
LearnUpon lets you change owners, if the event owner doesn’t have admin permissions anymore.
When you change an admin to learner through the application interface, you choose a new owner from a dropdown list.
When you change an admin to learner through the API, LearnUpon assigns the “oldest” current admin on the portal as the new owner for the modules.

Recording attendance and generating reports
Can you change the attendance status of a learner?
Yes. If there’s already an attendance record, you can select Mark attendance again to edit it manually.

What’s the difference in the absent/present and completed/not completed columns in the Live Learning report?
Completed/Not completed refers to the Live Learning event status, based on the completion criteria as well as the learners' attendance. You set the criteria for completing the module.

For example:
- if attendance is required, and the learner attends the session, they are marked as Present on session and Completed on the Live Learning event
- if attendance is required with minimum attendance set (30 minutes), and the learner joins for 25 minutes and leaves, they will be listed as Present on session for 25 minutes and Not completed on the event, since they did not meet requirements
If required, you can edit attendance manually for any session.

What happens to a learner on a session if the minimum attendance minutes is not met?
The learner is marked as Present but their overall enrollment is Not completed.
Can we see all the sessions a learner is signed up to?
Yes. Admins can view learner calendars, and run advanced Live Learning reports.
- for individual learners: from main navigation go to Users > user name > Training Calendar
- for multiple learners: from main navigation go to Reports > Advanced Reports to create and run an event report. Run a report on all sessions, and filter by the learner name

Notifications
Does the event owner receive instructor notifications if they set themselves as the instructor?
Yes. The event owner receives instructor notifications when they are listed as the instructor, or if someone else assigns them as an instructor.

How will the timezones and dates look to learners on a session?
For learners, the timezone is set in their user profile. See Your profile: the learner view.
Notifications for sessions, and references to time and date within the portal, use the timezone in the learners' profile.
