Run reports to track learners' progress
Set up reports, download them, and schedule them for routine delivery.
Availability: all customers
Reports provides:
- basic reports that organizations know and trust, for reports with results up to 10,000 rows
- advanced reports (previously called Report Builder) with drag-and-drop layouts to set up and manage large report volumes
Access permissions for basic reports
- Admins: full access to all report types
- Managers: can run reports for the learners they manage in groups
- Instructors: can run reports on the courses they lead
Access permissions for advanced reports
- Admins: full access to all report types, and can change owners of existing reports
- Managers: can run progress reports only, for the learners they manage in groups.

Basic reports: overview
Basic reports (previously called legacy) are the longstanding LearnUpon report features that many organizations have used for years.
When you run a basic report, you get an onscreen display version for quick review, and an option to download to CSV or PDF.
Downloaded basic reports are more complete and detailed than onscreen displays, with more columns of data. If you're new to basic reports, download samples of each report to find out what's available.
Note: LearnUpon can download basic reports with up to 10,000 rows of data. If your report generates more than 10,000 rows, you can use filters to refine the report to a downloadable size.

Default basic report types
Five basic report types are available by default in your portal, depending on which features you use. For example, if you don't use SCORM modules or exams, you won't see their report types.
Note: the Exams/Interactions transcript report is not currently available for SCORM 2004.
- Course Modules: statuses of each module, along with started and completed timestamps
- Exams: review of exam answers, provided in charts or transcripts
- Survey: review of survey answers, provided in charts or transcripts
- SCORM Exams/Interactions: for modules that report interaction data, report on module-specific interaction data
- Tin Can Exams/Interactions: for modules that report interaction data, report on module-specific interaction data
Basic report types on request
Active Users: numbers of unique users who have logged in at least 1 time per month, for each portal.
This report is available on request. Ask your Customer Success Manager to enable this option.
Basic reports for specific features
The following basic report types are available, when your portal has the related features enabled. See Collection: portal setup options to discuss with your implementation consultant for a summary of features associated with different LearnUpon plans.

Advanced reports: overview
Create effective, flexible reports using data tailored to the needs of your business, to report on:
- learner progress, for one portal or multiple portals
- Live Learning sessions
- learning paths
Tip: use the advanced Live Learning report to track learner registrations on sessions. Filter the results by learners' names to see their registrations across multiple courses.
Advanced report filters
Focus on the information you want most.
In the main filter fields, if you leave a field blank, by default LearnUpon runs the report on all the options in the filter. For example: if you don't select a course or event for the report, the report runs on all courses or events in the portal.
Note: custom user data fields work differently from the default report filters. To use custom user data as a filter, you must select entries in the field.
Layout: choose how to display your data
LearnUpon provides Your Report with a set of column titles as a default starting point, alongside all Available Data. Drag and drop items to include or remove columns, and move them around freely to present them in an order that works for you.
The following screenshot shows the advanced Report layout for a progress report, where you can choose which data to include in your report.

By default, each advanced report displays the figures for completion statuses across the top of the report, for quick access.
Sort by results in the report columns
After running the report, select a column name to sort the report by that column.
Advanced reports: view, search and filter saved reports
The Advanced reports interface provides effective tools for finding reports to view, including:
- a Search bar to find reports by name. Enter 3 or more characters to find results

- Report type
- report dates, with Created after and Created before calendar pickers
- report Frequency
When you apply filters to the report list, they affect results across all pages of saved reports.

Advanced reports: manage the data you track and share
From Reports > your report > More (aka 3-dot menu) you can select most report management options. The following screenshot shows an example of More for an admin owner.
Edit, save, and preview
You can edit an advanced report to change which fields to include, or change the order the fields appear. Within the report page, you can Save or Save and preview.
Rename report
You give the report a name when you save it for the first time. Rename a saved report if required.
Schedule a report
Routine automated reports help you monitor your learners' activity and enrollments effectively.

Delete a report
Deleting a report means it no longer runs, or appears on the Reports page.
Create a copy
Copy an existing report as a template. Optionally, you can assign the copy to another admin to share an example. The copied report does not include the schedule of the original report.
Change owner
Admins can change the owner of any reports, transferring ownership to another admin. This option makes sure all reports have an owner, even when report owners leave your organization.
Export results
From the report page, select Export to generate a CSV of the report for download.
Share a report
From the report page, select Share to access and copy a link you can share with admins.
