Summary
Instructor Led Training (ILT) lets you offer in-person sessions or online webinars in your courses. Notifications with calendar invites keep your learners up to date.
Instructor-led training is available to all customers on request.
Webinar integrations for online sessions are available depending on your LearnUpon plan.
Your Customer Success Manager (CSM) or the support team adds the feature to your portal.
LearnUpon currently supports its legacy ILT modules, and its ILT Center training and sessions. See ILT Center: overview and features to find out how LearnUpon is redesigning ILTs for the future.
ILTs include optional email notifications to tell learners about their coming ILT sessions.
ILT notifications are separate from course enrollment notifications. These emails can include calendar invites for learners to add straight to their own calendars.
Note: to use iCal attachments and calendar invites effectively, learners must set their email and calendar to receive calendar content and accept invites.
Access permissions
After your CSM or the support team add the ILT feature to your portal, an admin with full portal permissions needs to turn on and set up ILTs as a feature.
To add the ILT Center in sub-portals: a top-level portal admin must contact your Customer Success Manager or the support team, to request the feature for each sub-portal.
Background
Your existing portal settings for email affect ILT notifications. These articles provide context for how email works in the portal. See:
- Email opt-out: if you let learners opt out of emails, those learners who opt out will not receive ILT email notifications
- Course notifications: set automated messages for course events: if you turn off enrollment emails, learners still do receive ILT email notifications
- Standard LearnUpon-generated emails: overview: a summary of all automated messages
ILT notifications: send email reminders for coming sessions
You turn on notifications for all ILTs, both legacy and ILT Center, at the portal level.
ILTs email notifications are separate from course enrollment notifications.
For ILT Center sessions, these email notifications can include calendar invites for learners to add sessions straight to their own Gmail, Outlook and Yahoo calendars.
You can choose 1 of the following options:
- Email with iCal attachment: learners manually download the attachment to add it to their calendar. For session updates or cancellations, the learner must update their own calendar with new iCal
- Email with calendar invite: when learners select Yes, the session appears in their online calendar automatically. Session updates or cancellations appear automatically in most online calendars.
- Email without a calendar option: includes date and time and any webinar link, but no calendar content.
The following screenshot shows the notification options for ILT Center sessions from Settings > Courses > General Settings, with Email with calendar invite selected.
Note: ILT Center notifications require an email address. For organizations that have usernames as unique identifiers, make sure that all recipients - training owners, instructors and learners - have a valid email address in their profile.
If you do not use email notifications, you must keep learners informed about their coming sessions some other way.
Turn on ILTs in a portal or sub-portal
- From main navigation go to Settings > Courses > General Settings.
- Turn on Enable ILT (Instructor Led Training) sessions.
- Optional: turn on Enable ILT email notifications. For ILT Center training, select 1 of the 3 options:
- Email with iCal attachment
- Email with calendar invite
- Email without a calendar option
- Save to finish.
Once turned on, ILTs are available to you when adding new course content.
The following screenshot shows a sample course Info > Add New Content, with the 2 types of ILTs highlighted. ILT Center training is marked as new.
Next steps: set up training locations and webinar connections
For both legacy ILTs and ILT Center: you turn on the ILT feature in Settings, then set up one of the following options:
- for in-person training, set locations. These locations appear as options when you create ILTs. See ILT: set locations for instructor-led training sessions
- for most online training, set up 3rd party webinar connections
MS Teams works differently from other providers, and has additional options and features.
See Connect to Microsoft Teams for all the articles about MS Teams.
Next steps: customize messages and reminders
After you turn on ILT email notifications, you can tailor your messages further.
For legacy ILT sessions, you set up notification options as a part of the course settings.
See:
- Course settings overview: details, learner access and messaging options
- Course notifications: set automated messages for course events
For ILT Center sessions, you set up notification options in the ILT Center module.

Move from legacy ILTs to ILT Center training
You can start using ILT Center training in new courses, while supporting legacy ILT modules for existing courses.
You can't add both legacy and ILT Center modules to the same course.
Note: LearnUpon recommends you create the ILT Center training and sessions first, before creating a new course version.
Make sure your sessions have enough capacity to hold all the learners currently on the course in Not Started and In Progress status. If you don’t create enough capacity, LearnUpon can’t transfer all your existing learners to the newest course version, and some enrollments will fail.
After creating your ILT Center training:
- create a new course version
- remove all the legacy ILT modules from the course
- replace the legacy modules with ILT Center training
- review all modules
- publish the newest course version
Email and calendar documentation for reference
LearnUpon’s email notifications work with Gmail, Yahoo and Outlook as providers.
LearnUpon is not responsible for content outside this website.
