Use customized template text in more than 1 portal
Share custom texts across a realm without copying and pasting. Top-level admins, working in the sub-portal, can "pull" individual templates into a sub-portal.
Availability: all customers
Organizations using customized texts across multiple portals can set up a custom text in the top-level portal, and copy it to sub-portals.
Admins can copy individual templates for brand updates, for example, or for a change to course requirements.
You can copy any customized template, whether it is enabled or not.
Note: copying a template includes copying any custom user data variables in that template.
If both portals have identical custom user data variables, then the copied template works the same way in both portals.
If the sub-portal has different custom user data variables then you need to review the copied template to replace the top-level portal versions, or otherwise edit the text to work for the sub-portal's learners.
Tip: always test a new template with the Send to Self option, to confirm the correct variables appear in the template.
Prerequisites
- set up at least 1 sub-portal. See Create and manage sub-portals
- have custom email templates in use. See Manage custom email templates
Access permissions
- all top-level admins: can copy the templates to a sub-portal
- sub-portal admins with full portal permissions: can access and edit the sub-portal templates. They cannot copy templates from the top-level portal
Copy email templates from a top-level portal to a sub-portal
- Log in to the sub-portal.
- From main navigation go to Settings > Email > Custom Email Templates.
- Select a template to open it.
- From Actions, select Copy from [top-level portal].

In the confirmation dialog that opens, select Yes. The template page refreshes with the copied template.

Edit the template in the sub-portal as required, and Save template to finish.
