Follow the progress of bulk actions with individual IDs and statuses
Check the status of bulk actions, aka tasks that take time to process on the portal. You access the tracker from its icon in your top navigation bar.

Portal action tracker: overview
LearnUpon’s bulk engine lets admins run large tasks such as:
- uploading and updating large numbers of user accounts
- uploading large volumes of content files as zipped SCORMs or xAPIs
- migrating training histories from other platforms
- group enrollments or unenrollments
- mark complete for groups
- starting or changing dynamic rules
- sending scheduled reminders
These tasks run in the background, and can take some time to process while admins can work elsewhere.
The portal action tracker is distinct from the Audit trails feature:
- the portal action tracker displays bulk actions that affect multiple portal users at a time, and that typically take time to process
- audit trails help admins follow actions that affect learner and content data, even for individuals

Keep track of action statuses
The portal action tracker displays the status of these tasks, one of:
- Not started
- Scheduled
- In progress
- Completed
- Completed with errors
- Cancelled
- Failed
- Timeout
The tracker is view only, to provide up to date information. You can’t access the features directly from this page.
Follow actions with a reference ID
Most actions you start have a reference identifier. Some bulk actions, including unenrolling learners, marking learners complete, and sending reminders, currently do not have IDs.
Some tasks have more than one bulk action, so can appear in the interface more than once. For example, replacing multiple SCORM packages requires an upload step and then a replace step.
The following screenshot shows the portal action tracker with some Completed actions.
Email notifications available for completed tasks
Admins, managers or instructors who start a bulk action can receive a notification email when the job is complete with a summary including:
- Action type
-
Status, one of:
- Completed
- Completed with Errors
- Cancelled
- Failed
- Reference ID
- requester
- timestamp of task completion
For privacy reasons, the system does not include error files in the notification. The email directs users to the portal action tracker to find the error report by Reference ID.
Error reports include the name of the files uploaded
To make it easier to find relevant error reports, the report names refer to the names of the files you uploaded.
Error reports use a CSV file format for downloading, and include:
- row numbers
- status, such as Error or Warning
- identifier, such as email name or course ID
- issue, aka the problem identified by LearnUpon
- resolution, aka the action the user must make to correct the error
Note: each error report is available from the portal for 1 week only. Download your reports as required for your records.
Access permissions
- all admins, managers and instructors: can view the actions they started. They cannot view actions started by other users

From main navigation, the portal action tracker is available in the top navigation area, near the roundel with your initials or photo.
