Summary
User licensing lets top-level portal admins limit the number of users in a sub-portal. If a sub-portal reaches its licensed user limit, the sub-portal admin cannot create additional users.

User licensing is different from course licensing: user licensing controls the number of users created on a sub-portal, rather than the number of course enrollments.

How LearnUpon counts user license numbers
A sub-portal with user licenses requires a license for every user, including learners, administrators, managers and instructors. Each of these user types requires a license.
A user license counts as used as soon as:
- an admin creates the user
- a user self-registers
If a user enrolls, but never starts a course, the admin can delete the user, to return the license to the available pool of licenses. If the user starts a course - so their course enrollment status moves from Not Started to In Progress - their license cannot return to the pool.
Set user licensing on a sub-portal
A top-level portal admin needs to enable user licensing on the sub-portal. A sub-portal admin can view licence usage, but cannot access the license controls.
- From the sub-portal main navigation go to Settings > User Licensing > General Settings.
- From the Settings card toggle Enabled?
- Enter a number for Number of Licenses Purchased for the sub-portal.
- Save to finish.
The following screenshot shows the User Licensing page with the feature enabled, with a single admin user created to date.
With user licenses enabled, a sub-portal admin can create and invite users up to the number specified. When the user licenses are all used, the admin can no longer
- create individual users
- send user invites - the invite goes to the user, but the user gets an error when they try to accept
- batch upload users
- create users though the API
- accept user self-registration on the portal, where enabled
- accept user signups through the store, where enabled
If a sub-portal admin tries to create users without a license, they get an error, and cannot complete the action.
Manage user license numbers
If a sub-portal reaches the limit of user licenses, the top-level portal admin has 2 options.
Add more licenses
- From the sub-portal main navigation go to Settings > User Licensing > General Settings.
- Enter a new number for Number of Licenses Purchased for the sub-portal.
- Save to finish.
Allow over-runs
Over-runs allow the sub-portal admin to continue creating users. The sub-portal tracks license numbers but does not restrict them.
- From the sub-portal main navigation go to Settings > User Licensing > General Settings.
- Toggle Allow over-runs?
- Save to finish.
