Summary
Observe and verify that a learner has completed on the job (OTJ) training tasks using a checklist.
This feature is available to all customers.

Note: currently, you can approve checklists but you can’t reject them. If learners don’t meet the checklist requirements, message them to agree on next steps.

Access permissions
Admins, instructors who are course owners, and managers with instructor permissions can:
- create checklists with their items and add them to courses
- observe checklists and verify them for learners
Instructors who are not course owners can observe checklists and verify them for learners.
By default, the course owner - the person who created the course in LearnUpon - is the first course instructor, and the first checklist observer.
The course owner or a portal admin can always observe and verify checklists, as a backup option for instructors, but they don’t typically get observation requests.
Courses can have multiple instructors. Admins can assign 1 or more learners to a specific instructor.
When learners are assigned to an instructor, only the instructor receives the learners' observation requests, and can verify their learners' checklists. Other instructors no longer have access.
You can change the course owner through a course’s Additional Settings. See Courses: Additional Settings to manage learners' access to a course.
To give instructors the optional permissions to create courses, and become course owners, see Users: create an instructor, and assign them to a course.

Receive a notification from a learner
When a learner selects Request assessment from the checklist module, LearnUpon sends a notification to the course owner.
The following screenshot shows an example of the automated message from a learner to the course owner.
The course owner can view learner requests in the course, from the Checklists tab.

Assess a learner using a checklist
Note: the observer can mark the learner as Approved, even if the checklist is not complete. This option provides flexibility to address individual circumstances.
- From main navigation go to Courses > my course.
- From secondary navigation go to Checklists to see the names of learners who have requested assessment.
- From the learner’s checklist status, select Awaiting assessment.
- The checklist opens the learner’s name at the top, and roundels next to each item.
- Select the items to add a checkmark. LearnUpon changes the text of finished items to bold.
- When the observation is complete, select Approve.
- In the confirmation dialog that opens, select Approve to finish. This approval completes the module.
If you navigate away from the checklist, LearnUpon saves the list automatically: the learner doesn’t need to restart the task for observation.
