Add your HubSpot properties to LearnUpon
Connect HubSpot properties to LearnUpon custom user data fields so you can use LearnUpon’s dynamic rules. Dynamic rules automatically sort learners into groups and enroll them in courses, learning paths, and learning journeys.
Availability: all customers who use HubSpot as a CRM
Prerequisites
To make the most of the integration, you need groups and dynamic rules set up, based on LearnUpon custom user data. See:
- Create groups, and assign users to groups
- Custom user data: set up custom fields
- Dynamic rules: group users by their email domain, creation date or custom user data
Access permissions
- Admins with portal permissions: can set up this integration on a portal or sub-portal, and in multiple portals within one realm. You must set up the HubSpot integration in each portal separately
The admin who sets up the integration in LearnUpon needs access to a HubSpot admin account.
Note: for white-labelled portals, admins must log in via the portal's yourdomain.learnupon.com URL, to set up the integration.
Map your data from HubSpot to LearnUpon
You set up the HubSpot integration to select 1 of 2 types of HubSpot records, to provide data to LearnUpon, depending on how you use HubSpot.
- Contact records - typically used to manage your external relationships with leads, customers, and other individuals
- User records - typically manage your internal relationships with team members or employees. User records manage permissions, roles, and internal collaboration within the platform. Members of your organization have login access to User records, and perform actions within HubSpot
These records contain different properties, for their different purposes. You can map their properties to LearnUpon’s custom user data to set up groups, run dynamic rules, and create learning journeys.
The integration sends HubSpot’s properties to LearnUpon and lists them. You need to connect (map) the HubSpot property to a LearnUpon custom user data field.
Your HubSpot fields are sorted alphabetically. Use search to find specific fields without browsing.
Note: for custom user data fields that use choice, aka drop-down fields, the drop-down values available must match exactly between HubSpot and LearnUpon. If they don’t match, HubSpot can’t send the correct value to LearnUpon.
- From main navigation go to Settings > Integrations > CRM integrations.
- Select HubSpot.
- From the main page select Map your data.
- From Select attribute field, select a HubSpot attribute name.
- From Select CUD field, select a LearnUpon custom user data field to match.
- When required:
- repeat these steps to create as many fields as you need
- select X next to a row to remove a connection
- Save changes to finish.
- Select Sync to start the first synchronization between HubSpot and LearnUpon.

Synchronize between LearnUpon and HubSpot
A sync prompts HubSpot to start synchronizing learner data in LearnUpon to Contact record information in HubSpot. After the first sync, LearnUpon synchronizes its records with HubSpot once per day automatically.
You can sync manually once per hour, as required: for example, if you add a number of new learner profiles to your LearnUpon portal and need their custom user data added from HubSpot immediately.
- From main navigation go to Settings > Integrations > CRM integrations.
- Select HubSpot.
- Select Sync.
This process takes a short time depending on the number of accounts.
Confirm the sync worked: for created accounts, go to Settings > Users and filter for users created after the selected date.
