By mapping Personio data to LearnUpon custom user data fields, LearnUpon can use dynamic rules to filter learners into groups as soon as learners accept the invite and log in to the portal.
This feature does not change the default required attributes that Personio sends to LearnUpon through its API. It lets you add data from Personio, to run dynamic rules in LearnUpon.
Connect Personio attributes to LearnUpon custom user data
Personio stores its personnel data in fields called attributes, that are in turn grouped into sections.
Personio attributes have specific types, much like LearnUpon’s custom user data field types, to define the expected contents. See:
- LearnUpon's Custom user data: set up custom fields
- Personio documentation Create custom sections and attributes
To connect Personio attributes and LearnUpon custom user data successfully, the two sets of field types must match. For example, you can’t connect a Personio integer field to a LearnUpon date field, or a Personio link field to a LearnUpon decimal field.
The following table lists Personio’s attribute types and the matching LearnUpon field type.
Personio attribute type | Corresponding LearnUpon field type |
---|---|
Link | String |
Multi-line text field | String |
General | String or String Choice - Single Select |
List of options | String Choice - Single Select, String |
Tags | String Choice - Multi Select, String |
Date | Date |
Number (integer) | Integer or Integer Choice - Single and Multi Select |
Number (up to 2 decimals) | Decimal or Decimal Choice - Single and Multi Select |
Access permissions
Only LearnUpon admins with portal permissions can set up the integration. The LearnUpon admin who sets up the integration requires access to a Personio admin account.
Prerequisites
Your organization must be a Personio customer to use this integration.
This feature requires:
- custom user data set up in your portal. See Custom user data: set up custom fields
- Personio integration set up in your portal with Personio API credentials. See Set up and manage Personio in LearnUpon
To filter learners into groups with dynamic rules, you need to set up both groups and dynamic rules, in LearnUpon. See:
- Create groups, and assign users to groups
- Dynamic rules: group users by their email domain, creation date or custom user data
Contact your Customer Success Manager for advice about using dynamic rules.
Before you start
Within Personio:
- review the employee attributes you use, and decide which fields you need mapped to LearnUpon, to create dynamic rules
- add any manual attributes to Personio your organization requires in both Personio and LearnUpon
- in the API credentials you set between LearnUpon and Personio, add the attributes to Readable employee attributes list
See Personio documentation about their API: Generate and manage API credentials
Note: as good practice, LearnUpon recommends you set up only the fields you need to share between Personio and LearnUpon, to filter learners accurately into groups with dynamic rules. You do not need to duplicate all your learners' personal data in LearnUpon.
