Summary
Review possible error messages when using batch user upload to create or update learner accounts in LearnUpon.
Batch user upload is available to all customers.
Batch user upload lets admins use CSV files to create or update large numbers of accounts. Learn how to fix the errors and complete the uploads successfully.
Prerequisites
Learn the steps of a batch user upload, and the optional features:
This feature is available to administrators only. See Portal setup: create admin accounts for background on admin permissions.
Correcting errors for batch uploads: overview
If LearnUpon can't process an account, LearnUpon skips that line in the CSV and continues processing the file. After each batch upload, you get an email confirmation, to state how many accounts LearnUpon created or updated.
If you have errors, the email subject line reads Batch import completed with errors/warnings. Any errors appear in a table, with a message to describe the error. Each message applies to one account in a row.
Messages, meanings and fixes
The following messages appear in confirmation emails sent to the admin.
Your file is not UTF-8 encoded or you have character(s) inside which are not UTF-8?
LearnUpon recommends UTF-8 character encoding when creating and saving batch uploads. Your uploaded file is more likely to import cleanly when encoded in UTF-8, rather than ISO or equivalent formats.
To fix: if you used another format, open the file in a text editor and save it as UTF-8 format.
There was an error processing custom user data for row: %{row}
Something went wrong processing the contents of a custom user data field(s) for a specific user.
If several accounts have the same error, look for a pattern in the contents of the fields.
To fix:
- look at the custom user data for non-standard characters or "invisible" characters
- if the custom user data uses pre-defined values, aka a drop-down menu, confirm that the value in the file is one of the drop-down options available
See Character encoding errors in batch uploads: troubleshooting for background.
The file you have uploaded exceeds the allowed number of rows(%{row_size} rows) per file.
The maximum size of batch user uploads is 10K rows. If you upload more than 10,000 rows, you'll get an error.
To fix: divide the batch upload into 2+ files, and try again.
The file you have uploaded exceeds the allowed file size of %{file_size} MB.
The maximum size of batch user uploads is 10K rows. Since the volume of data in a row can vary, you can sometimes exceed the file size allowed, even if you upload less than 10,000 rows.
To fix: divide the batch upload into 2+ files, and try again.
Username %{original_username} will not be updated to %{updated_username},
because this portal has usernames enabled as unique identifiers for login.
Make any username changes through the LearnUpon application.
Warning: Username(s) will not be updated because they are being used for login
LearnUpon relies on a single unique identifier for each user account, as a login for each portal. Most organizations use an email address, but you can set up usernames instead of email. See Log in with usernames.
You can't change a user's unique identifier, either email or username, by batch user import.
You can change unique identifiers one by one, through the user's profile.
To fix: change unique identifiers for individual users through LearnUpon’s application interface, in the user's profile.
If you need to change a large number of unique identifiers - for example, your organization is changing its name and all your employees are getting new email addresses - contact your Customer Success Manager, or the Support team, to discuss options.
You're not allowed to create this user
Typically, this error happens when you are adding an existing user from 1 portal to a second portal in the same realm.
This process requires a setting in the top-level portal, in Settings > Users > General Settings, called Allow user creation if user already exists? turned on.
To fix: confirm that Allow user creation if user already exists? is turned on in the top-level portal. Run the batch user upload again.
See Portal setup: users' general settings and Sub-portals: adding users to more than 1 portal.
You're not allowed to update a top level admin
This message occurs if you try to edit a top-level admin account through a sub-portal.
You can only update top-level admins through the top-level portal. You need the same top-level admin permissions to make this update.
To fix: to include a top-level admin, run the batch user upload from the top-level portal.
For a sub-portal batch user upload, leave the top-level admin account out of the upload.
See Portal setup: create admin accounts for background about admin roles across portal realms.
See Batch user upload: overview and options explained about admin permissions for updates.
You are not able to update user with higher privileges than you
Typically this error happens when the account you’re trying to change is an admin, and you don’t have the same permissions as that admin.
To fix: contact an admin with higher permissions for the portal to make any changes.
See Portal setup: create admin accounts for background about admin roles across portal realms.
See Batch user upload: overview and options explained about admin permissions for updates.
There has been an error while adding user to course(s)
This message lets you know that the user wasn't added to a course. Possible reasons include:
- the learner's account has expired
- the course has reached capacity and LearnUpon can't add more enrollments
- the learner is already enrolled on the course
The fix: check the user's profile and the enrollments' status for the course.
There has been an error while adding user to group(s)
This message lets you know that the user wasn't added to a group. Possible reasons include:
- the learner is already part of the group
- something went wrong processing assignments for the group
The fix: look into either the learner's profile or the group info. Check to see if other assignments worked OK for group members.
We can't update a deleted user
If you manually delete a user while a batch user upload is running, their account is no longer available to update using batch user upload.
To fix: remove the deleted user from the batch user upload for next use.
Failed to create invite, here is what we found %{error_details}
If LearnUpon can't create an invite to send to a user, or can’t save the invite, the error details tell you what went wrong.
To fix: depends on the error details.
